How to Make an Impact With Event Printing
Planning a conference is no easy task. With so many moving parts, the key is to get the support you need from resources you can rely on.
Jason Perry of eClinicalWorks did just that. He found the right team to help him with signage for this year’s annual company conference, held in October at the Orlando World Center Marriott. The team’s efforts were led by Nicole Quattrock, FedEx Office event solutions consultant at the FedEx Office® Print and Ship Center located onsite at the Marriott.
“Every year we have our National Users Conference,” Perry says. “This year we had record-breaking attendance. More than 4,500 customers attended, plus we brought 450 eClinicalWorks employees — our engineers, support staff, developers, trainers and sales staff.”
eClinicalWorks is a leader in ambulatory clinical solutions, and it’s estimated that eClinicalWorks technology is used to store the electronic medical records of nearly two-thirds of the U.S. population. The National Users Conference gives its customers the opportunity to learn about the company’s new products and get training.
The attendees consisted of healthcare professionals and clinicians. With such a large group, branding and directional signage is absolutely essential to ensure the event runs smoothly and to make the event location easy for attendees to navigate.
Planning and prepping
A few months before the October conference, Perry met with Quattrock at the Orlando World Center Marriott. With the FedEx Office Print and Ship Center located onsite, Quattrock used her knowledge of the hotel’s layout to more easily plan’ the large-format printing needed for signage.
“We walked the space to get in the mindset of our attendees. Nicole and the FedEx Office team members were there every step of the way to help us plan. We were only there for a couple of days, but Nicole knows the space very well and was able to provide us with lots of pointers. She gave us a lot of ideas for branding opportunities within the Marriott,” Perry says.
Those pointers involved everything from which large-format material to use to print the eClinicalWorks logo and messaging to where their signs, banners, posters and clings should hang. “FedEx Office printed everything we could stick to a wall. Nicole knew what I wanted before I knew what I wanted,” Perry says.
Besides printing banners, posters, brochures and other conference materials, teams at the FedEx Office Print and Ship Center locations can also assist with packing and shipping needs. This option comes in handy when setting up large conventions.
Once the eClinicalWorks group arrived at the hotel to finalize preparations for the conference, Quattrock and the FedEx Office team were on hand to help transform the Marriott. “We took over the whole space. Someone went up to our CEO and co-founder during the conference and asked, ‘Is this a Marriott or an eClinicalWorks hotel?’”
A happy ending
Perry plans to work with FedEx Office again for next year’s event at the Gaylord Opryland Resort and Convention Center in Nashville. The center also has a FedEx Office Print and Ship Center location onsite.
“The Orlando conference was a huge success,” Perry says. “We got everything out of it that we wanted — happy customers who know more about us and our products.
“The signage was perfect. People were able to get the information they needed. FedEx Office Print and Ship Center team members and Nicole had a lot to do with that. And now FedEx Office knows us. They know what we expect. Nicole and her whole team handled our event beautifully. They were so professional.”
