What is eInvoicing?

eInvoicing enables you to receive digitally signed invoices and credit notes in PDF format via FedEx Billing Online. You will no longer receive paper versions. The eInvoices issued by FedEx Billing Online contain a digital signature to confirm their origin, authenticity and integrity to both yourself and your local tax authority.

What FedEx invoice payment options are available to FedEx customers?

What do I need in order to use FedEx Billing Online?

You will need Internet access and a web browser. FedEx Billing Online supports the current versions of all major desktop browsers.

How do I register for FedEx Billing Online?

To register for FedEx Billing Online, go to fedex.com and select View/Pay Bills Online under the Manage my Account Section. If you already have a fedex.com username and password click Login and verify your account information. If you are new to fedex.com, register by clicking on the Register link on the login page.

How do I log in as an existing user?

If you already have a fedex.com username and password, go to fedex.com and select Manage my account. Click on Pay/view online accounts. Then click on Login to FedEx Billing Online Enter your User Code and Password.

How can I upgrade my account for eInvoicing?

Login to FedEx Billing Online. Click at the top of the page on My Options. Click on Manage Account Settings. Go to Edit customer account information and select ‘Only Electronic’ under Invoicing options. Click on Change billing medium to confirm your modifications.

Are eInvoices and credit notes from FedEx Billing Online accepted by my tax authority?

Yes. These documents contain a digital signature to confirm their origin, authenticity and integrity to both yourself and your local tax authority. FedEx Billing Online uses the highest level of digital signature (a Qualified Digital Signature) that is compliant with the EU VAT Directive.

How do I verify the digitally signed documents from FedEx Billing Online are valid?

FedEx checks the digital signature embedded in every digitally signed invoice and credit note and provides a verification report confirming their integrity. This PDF document is evidence to your local tax authority that the digital signature of the document has been checked. You can verify the digital signature of the document yourself by using services like www.signature-check.com.

What is the role of the Billing Online administrator?

The first user to register a customer account for FedEx Billing Online is by default the Administrator.

The administrator will receive an email warning, can edit user or account information, can change the password, can add and remove users and can make another user administrator.

How do I know my invoice information is secure?

The security of your account information is very important to FedEx. FedEx Billing Online automatically encrypts your confidential information using Secure Sockets Layer (SSL) protocol with an encryption key length of 256 bits. 

Customer account information

Will all of my FedEx accounts be covered by FedEx Billing Online?

No, not all your FedEx accounts are automatically covered under FedEx Billing Online.

How do I add FedEx accounts to the account I am registered with?

If you registered a account on FedEx Billing Online, you can add several FedEx accounts. Click at the top of the page on My Options. Click on Manage Account Settings Go to add/remove accounts and click on Add a primary account. The country of billing of the added accounts must be the same as the country of the account you registered with. For invoices of accounts in other countries a separate registration must be done for each country. See frequently asked questions; How do I register for FedEx Billing Online?

If you want to mention the name and address of the primary account on the invoices of other accounts, you can add these accounts as sub-accounts.

Click on Add/remove accounts in the tab My options. Enter the account of the sub-account and enter the correct company name of the sub-account. Click on Add a Child account. The country of billing for the sub-account must be the same as the country of billing.

If you wish to manage each primary account using a separate user ID, you must complete the initial registration process for each primary account and choose a user ID and password.

If I have multiple accounts, how will my invoice information be presented?

Your invoices will be presented in the same way as before. Either you will receive a separate invoice for each account or, if you currently receive one invoice with charges for all of your accounts, this format will not change. Adding primary accounts in FedEx Billing Online does not affect the manner in which your invoice is made.

How can I view all invoices for multiple accounts in FedEx Billing Online at the same time?

After adding your primary accounts to the account you registered with, you can find a full overview of all invoices for these accounts under the tab Account Summary. By means of the option list on the Invoice List you can, if you want, make a selection of the invoices you want to view.

If applicable, you can click on the different pages with billing information on the right of the invoice list. You can also increase or reduce the number of results per page to 5, 10, 20 or 50 visible invoices.

Can I assign names to my accounts so that I can easily recognize them?

Yes. In order to assign specific names to your accounts, click in the My options menu on Manage account settings and go to Edit Account Information. Select the account you want to edit and enter a store-id (name). Click on Update Store ID

Invoice Information

How do I view all of my outstanding invoices?

As soon as you logged in to FedEx Billing Online, you can find the totals per primary account and the Invoice list with all outstanding invoices and corresponding information under the tab Account Summary.

How are invoices grouped on the Account Summary page?

Invoices are grouped according to their current status. You can choose from the following groups:

  • All-Open: This is the default view and shows all invoices available on FedEx Billing Online that are currently open, including those that are Past Due or In Dispute;
  • Past due: This view will only show those invoices that have a Past Due status;
  • Paid/Closed: This view will show only the invoices that are fully paid;
  • In dispute: This view shows those invoices for which you have raised a dispute of the charges.

How do I access invoice and shipment details?

Click on the Account summary tab and go to Invoice list. To view invoice level detail, click an Invoice Number. Go to FedEx invoice Details at the bottom of the Invoice Detail View data screen. You will now be able to select the detail you want to view in the option list. For the shipment data you can select Air Waybill Number. Click on the air waybill number to see the shipment data.

How long are my invoices available at FedEx Billing Online?

Invoice information is available for 180 days after the invoice is paid in full. To view paid invoices, click on the Paid/Closed grouping tab displayed above the list of invoices. We advise you to regularly download and save your invoices for your own records.

How can I view, print or download my digitally signed invoice?

You can view and print a PDF version of your invoice by clicking the PDF icon for the invoice shown on the Account Summary. You can also view, print or download the PDF version of your invoice by clicking on the Invoice number in the Invoice list, and then make your choice. To download select Digitally signed PDF and download signature validation. Don’t forget to click the Refresh button for the files to become active. Click the Search button to view the results of your search on-screen.

If you want to download the search results in Excel, CSV or XML format then click the Download data button. You will need to specify the name of the file you want FedEx Billing Online to create and the data format (Excel, CSV or XML). Your results will be stored in the Download Center for you to download for up to 14 days.

NOTE: To view the credit note, you may need to install the free Adobe Reader on your computer.

How do I view, print or download my digitally signed credit invoice?

You can view, print or download a PDF version of your credit invoice by clicking in the Invoice list on the Invoice number to which the credit is applied. In the Display invoice data screen, go to View invoice history. In the Invoice history screen go to Invoice Adjustments and Payments Applied and execute the download order. To download select Digitally signed PDF and download signature validation. Don’t forget to click the Refresh button for the files to become active. Click the Search button to view the results of your search on-screen.

If you want to download the search results in Excel, CSV or XML format then click the Download data button. You will need to specify the name of the file you want FedEx Billing Online to create and the data format (Excel, CSV or XML). How can I download related customs documentation for my Duty/Tax invoices?

You can download a PDF version of your customs documents by clicking in the Invoice list on the Invoice number for which you want to download the customs documents. In the Invoice Detail View screen, go to FedEx invoice details and click on the relevant Air Waybill number. In the Tracking-id Details screen click on Download customs documentation. Don’t forget to click the Refresh button for the files to become active. Click the Search button to view the results of your search on-screen.

If you want to download the search results in Excel, CSV or XML format then click the Download data button. You will need to specify the name of the file you want FedEx Billing Online to create and the data format (Excel, CSV or XML). How do I view Proof of Delivery information for my shipment?

Click on the Invoice number of which you want to see the proof of delivery in the Invoice list. In the FedEx invoice view screen, go to FedEx invoice details. Click on the relevant Air Waybill number. In the Tracking-id details click on View Signature Proof of Delivery.

Adobe Reader shows a problem with my digitally signed documents from FedEx Billing Online. Why?

Adobe Reader has a limited capacity to validate digital signatures not issued in the US. You can confirm the validity of the digital signature by using services like www.signature-check.com or through the verification report included with all digitally signed invoices and credit notes.

Can I make payments through FedEx Billing Online?

Yes. FedEx Billing Online currently offers the possibility to pay one or more invoices completely, by means of an online credit card payment. Online payments can be executed with all commonly used credit cards. For online payments you have to create a Payment Profile. For more information, see the frequently asked questions about FBO Credit card payment options.

Can I set my account to automatically pay new invoices?

You can register your account in FBO Credit Card Payment Option. For more information, see the frequently asked questions about FBO Credit card payment options.

How do I know if FedEx has applied my payment?

After your payment is applied, FedEx Billing Online will automatically deduct your payment from the amount due. Online payments will be applied within 48 hours. If you paid your invoice balance in full, FedEx Billing Online will change the status of the invoice to “Closed.” You may view the history of any payments applied to a particular invoice by clicking the status indicator in the Invoice Status column.

Disputes

How do I inform FedEx that I disagree with the charges on my invoice?

If you have concerns about an invoice or a specific shipment and need to dispute it prior to payment, you can submit a dispute online.

To dispute an entire invoice, click the Invoice Number from the Invoice List screen. On the Invoice Detail screen that follows, click the “Dispute Invoice” button.

To dispute a separate shipment, click the Invoice Number for the shipment in question in the Invoice List screen. Click in the FedEx invoice details screen on the relevant air waybill number. At the bottom of the screen, click on Dispute. You can pay the other air waybill numbers (if applicable) in the same way, when at the end you click on Pay instead of Dispute at the bottom of the screen.

You will be asked to select a reason for the dispute and to provide the additional details describing the nature of your dispute.

How do I know when and how my dispute is being handled?

After submitting a problem online a FedEx representative will contact you. He or she will ask you for additional information or will inform you of the solution of the dispute. FedEx Billing Online will indicate that a dispute has been raised but does not show the status of disputes.

Search and Downloads

How do I search for specific invoices, shipments or payments?

Click on Search/Download at the top of the screen. Click on New Search or Download. Make a choice between Invoices, Tracking-id (air waybill number) or Payment reference. Select a term and select a status. Click Search. If your document is found, you will be directed to the respective page for more information.

Or enter your data in the Quick search field. Make a choice between Invoice number, Tracking-id (air waybill number) or Payment reference. Enter the specific information. When entering the invoice number make sure not to forget the hyphen after the first and fourth digit in order for the search to go ahead.

How do I download a range of invoices filtered by specific criteria?

Click on Search/Download at the top of the screen. Click on New Search or Download and make a choice between Invoices, Tracking-id (air waybill number) or Payment reference. Select a term and select a status. You don't need to have a particular invoice number or air waybill number. Click the Search button to view the results of your search on-screen.

If you want to download the search results in Excel, CSV or XML format then click the Download data button. You will need to specify the name of the file you want FedEx Billing Online to create and the data format (Excel, CSV or XML). Your results will be stored in the Download Center for you to download for up to 14 days.

What should I do if the data I attempted to download exceeds the maximum file size?

To ensure download results are shown quickly, FedEx Billing Online prevents the download of very large files. In the event that your download request exceeds the maximum 30MB file size and shows a Status of “Exceeds Limit”, use the drop-down boxes or the date range option to reduce the amount of records downloaded.

Preferences and Administration

How do I change my user and/or account information?

Select My Options at the top of the page and choose:

  • Manage account settings to add or remove primary accounts and the switch to eInvoicing:
  • Manage users to remove or invite users or to change the administrator;
  • Fedex.com profile to update your profile for FedEx Billing Online.

How do I change my FedEx Billing Online password?

Select My Options at the top of the page and choose Fedex.com Profile. Click Edit next to the word Login information. On the following page you can edit your user ID and password.

What happens if I forget my password?

If you forgot your password for FedEx Billing Online, click on the Forgot Your Password link on the primary FedEx Billing Online login screen. You will be prompted to provide information verifying your identity and you will then receive a password reminder via email.

How do I add or remove users to my account?

Select My Options at the top of the page and choose Manage Users. Next you’ll see a list of every user able to access online invoices for this billing account. Here you can invite new users by entering their First Name, Last Name, and Email Address or remove current users. Only the FedEx Billing Online Administrator can view, add or remove users for an account.

How can I tell which users have access to my billing account’s invoices?

Select My Options at the top of the page and choose Manage Users. Next you’ll see a list of every user able to access online invoices for this billing account. Only the FedEx Billing Online Administrator can view the list of users for an account.

Can I assign another user to be the administrator for my account?

Select My Options at the top of the page and choose Manage Users. In the Change Administrator section, choose the name of an existing user in the list and click the Change Administrator button. Only the current FedEx Billing Online Administrator can assign a new administrator.

Can non-administrator users receive email notifications from FedEx Billing Online?

No. Only the current administrator for the account will receive email notifications from FedEx Billing Online.

How do I cancel my FedEx Billing Online service?

Select My Options at the top of the page and choose Manage account settings. In the section Edit account information select the option Unregister for FedEx Billing Online in the option menu Billing options and click on Change billing medium. Only the FedEx Billing Online Administrator can cancel the FedEx Billing Online service.

How do I adjust my account to paper invoicing again?

If you would like to receive paper invoices again you can call our customer service on 02 752 75 75 and ask for the Invoice Adjustments department.

FBO Credit card payment option

What is FBO Credit card payment option?

FBO Credit Card payment option allows you to link your FedEx account in FedEx Billing Online to a credit card so that new invoices will automatically be charged to the chosen credit card. You can use all existing credit cards.

How can I register for FBO credit card payment option?

To configure the FBO credit card payment option, you first have to create a Payment profile. Select My Options at the top of the page and choose Manage Payment preferences. On the Automatic payment settings page click on Enroll for AutoPay. There you can create your payment profile for credit card payment.

Can I update my credit card details for FedEx credit card payment option stored by FedEx?

Yes. In the My Options menu go to the Update Credit Card option. In the Credit card Billing Information you want to edit go to Edit and enter the necessary changes. To save these changes, click on update credit card.

Can I pay all invoices on several accounts with my Payment profile?

For each account you register on FedEx Billing Online you have to create an individual Payment profile. The same credit card details which are also used for other accounts can be used.

How many Payment Profiles can I create?

You can create up to five credit card profiles per account.

Why am I asked to enter my credit card’s PIN (security code) when I create a linked Payment Profile?

FedEx takes cardholder security very seriously and therefore takes steps to ensure that we only accept credit cards from the cardholder. When credit cards are linked to a Payment Profile an authentication of the card details is performed with the issuing bank of your credit card using a transaction of $1 (or local currency equivalent). You are asked by your bank to enter your PIN/password as part of this transaction to confirm your identity. The $1 transaction is never paid to FedEx and will be returned to you in approximately seven days by your card issuer.

Why do I pay $1 (or equivalent in local currency) to add my credit/debit card to a Payment profile?

FedEx Billing Online performs an authorization transaction for $1 (or local currency equivalent) against the credit/debit card being added to a new or updated Payment Profile. When credit cards are linked to a Payment Profile an authentication of the card details is performed with the issuing bank of your credit card using a transaction of $1 (or local currency equivalent).
