Processing a Shipment
The main shipping screen provides you with all the features needed to complete a basic package shipment. Depending on the selections you make on this screen and the country you are shipping from, you can complete any of the following types of shipments from the main shipping screen:
  • FedEx Express (U.S. and Canada Domestic)
  • FedEx Ground (U.S. and Canada Only)
  • FedEx Home Delivery (U.S. Only)
  • Group Shipping
  • FedEx Express International Shipping
  • FedEx Return Shipping (U.S. Only)

The steps below describe how to create a basic shipment. Based on the selections you make, the screen might refresh. (Additional shipment options are available by clicking on the Go to options button at the bottom of the right-hand side of the screen.)

  1. Complete the Recipient information section.
    • To enter recipient information for the first time, select Add a new contact name from the Contact Name drop-down menu, then type in the required contact information.
    • To choose a recipient from your address book, make a selection from the Recipient ID, Company name, or Contact name drop-down menu.
    • To choose a recipient from your Fast Ship Profiles, select Use a Fast Ship profile from the Recipient ID, Company name, or Contact name drop-down menu. Then make a selection from the Fast Ship Profiles Popup box that displays.
    • Select Perform detailed address checking to verify the recipient address is valid.
    • Select This is a residential address if you are shipping to a residence.
    • Select Save in/update my address book if you want to add this recipient to your address book.
    • Select Add to my Fast Ship profiles if you want quick access to this recipient the next time you ship
    • To choose a group from your address book, select Ship to a group from the Recipient ID, Company name, or Contact name drop-down menu.
    Note: FedEx Express and FedEx Ground cannot deliver to P.O. boxes within the U.S. In most cases, International Express shipments addressed to a post office box are acceptable to most countries served by FedEx. For complete details about exceptions, see the FedEx Service Guide.
  2. Complete the Billing details section by selecting who the shipment will be billed to from the drop-down menu. If you indicate that the shipment should be billed to the recipient or a third party, you must provide their FedEx account number. In this section you can also enter your own reference information.
  3. Complete the Package and shipment details section. Field labels shown in bold indicate that a selection or entry is required.
    • If you select 2 or more from the Number of packages drop-down menu, a Multiple piece shipment details window displays so you can enter the quantity, weight, dimensions and declared value for each piece in the shipment. For multiple piece shipments, you can ship up to 25 packages using 10 unique rows of weight/dimensions information.
    • The Dimensions drop-down menu allows you to enter dimensions for the shipment you are currently creating, or you can select from a list of preset package dimensions that you have entered in your Dimensions Profile. Dimensions are only needed if you selected Your packaging from the Package type drop-down menu.
  4. To send an email to yourself or others with your shipment/tracking details, complete the Shipment notifications section.
    • Select to email shipment, exception and delivery notifications to yourself, the recipient, and up to 2 others. A personal message can also be added.
  5. In the More shipment details section, you can take advantage of any of the following features:
    • Designate a ship date up to 10 days in advance for FedEx Express shipments (up to 5 days for FedEx Express Freight shipments).
    • Indicate that you want to process a FedEx Return label to accompany your outbound package. This functionality helps you monitor the returns process from package pickup through delivery back to the desired return location (i.e., shipping in reverse). Note: This option is currently available for U.S. Domestic Express and Ground shipments only.
    • Indicate that you want to save this completed shipping transaction (as a Pending Shipment) and process it later. This allows you to enter all shipment information ahead of time and print the labels when your packages are ready to be shipped. Note: The Return Labels and Pending Shipments features appear on the main shipping screen only if you have enabled these options on your Preferences screen. Additionally, your FedEx account number must be enabled for FedEx Ground shipments before you can use the Return Label feature.
  6. To take advantage of additional shipment options, including special services, FedEx® Delivery Signature Options and FedEx InSight®, click Go to options.
  7. Click Continue to proceed with the processing of your package.
    • If you have set your preferences to automatically go to the Additional options, that page displays.
    • Depending on your shipment type and the selection you have made, additional information screens might display.
    • If you have set your preferences to show a shipment confirmation, a popup showing the details of the shipment displays.
    • If neither of these preferences is set and no additional information is required, the shipping label displays.
  8. When the shipping label displays, use your browser's Print feature to print the label. Depending on the type of shipment you are creating, on-screen prompts might instruct you to print multiple copies of the label to include with your shipment. Additionally, if you have created a multiple-piece shipment, thumbnails of labels for each piece in the shipment might display instead of full-size labels. On-screen instructions will assist you in printing labels for each piece. Note: Fax copies or photocopies of FedEx Ship Manager shipping labels should never be used because the bar codes on the copies might not be readable by FedEx automated scanning equipment.
    Warning: A shipping label can only be used to ship one package. It is fraudulent to make photocopies of a shipping label or to print extra copies of a shipping label to use on additional shipments. This could result in additional billing charges, along with the cancellation of your FedEx account number.
  9. At any time, use the buttons at the bottom of the screen as follows:
    • Click Clear fields to clear the screen and start your shipment over.
    • Click Change sender address to change the default information that displays for the sender of the shipment. If you select this option, a popup window displays that allows you to select another sender profile or add a new sender profile.
    • Click Get courtesy rate to determine shipment costs before you send the shipment. Your quote is based on rates associated with your FedEx account number and includes any applicable discounts.

Processing a FedEx Express Freight Shipment (Not Available from Asia Pacific Origins)

A FedEx Express Freight shipment is a single handling unit or package, attached to a skid, weighing 151 pounds or more. Maximum skid dimensions are 48"L x 48"W x 70"H. All freight must be forkliftable, stackable, banded, and shrink-wrapped.

The steps below describe how to create a FedEx Express Freight shipment. Based on the selections you make, the screen might refresh. (Additional shipment options are available by clicking on the Go to options button at the bottom of the right-hand side of the screen.)

  1. Complete the Recipient information section.
    • To enter recipient information for the first time, select Add a new contact name from the Contact Name drop-down menu, then type in the required contact information.
    • To choose a recipient from your address book, make a selection from the Recipient ID, Company name, or Contact name drop-down menu.
    • Select Perform detailed address checking to verify the recipient address is valid.
    • Select This is a residential address if you are shipping to a residence.
    • Select Save in/update my address book if you want to add this recipient to your address book.
    • Select Add to my Fast Ship profiles if you want quick access to this recipient the next time you ship.
  2. Complete the Billing details section by selecting who the shipment will be billed to from the drop-down menu. If you indicate that the shipment should be billed to the recipient or a third party, you must provide their FedEx account number. In this section you can also enter your own reference information.
  3. Complete the Package and shipment details section. Notice that when you select one of the freight options in the Service type drop-down menu, the screen refreshes to display freight-specific options.
    • Select the Number of skids from the drop-down menu. If you select 2 or more, a Multiple piece shipment details window displays so you can enter the number of skids, weight, dimensions, declared value and total pieces per skid for each skid in the shipment. For multiple piece shipments, you can ship up to 25 skids using 10 unique rows of weight/dimensions information.
    • For a single skid, enter weight, dimensions, declared value, and total pieces on skid on the main ship screen.
    • Enter your booking confirmation number if appropriate.
    • The Dimensions drop-down menu allows you to enter dimensions for the shipment you are currently creating, or you can select from a list of preset package dimensions that you have entered in your Dimensions Profile.
  4. To send an email to yourself or others with your shipment/tracking details, complete the Shipment notifications section.
    • Select to email shipment, exception and delivery notifications to yourself, the recipient, and up to 2 others. A personal message can also be added.
  5. Complete the Shipping options section.

    • Select a Pickup/dropoff option.

Processing a FedEx Express or FedEx Ground Return Shipment (U.S. Only)

FedEx Return shipments automate the returns process by providing merchants with the ability to print a FedEx Express or FedEx Ground return shipping label to send along with the outbound package, e-mail customers a ready-to-use, password-protected FedEx Express or FedEx Ground shipping label, or by generating a pickup and label request for their customer's return shipment. This functionality helps users monitor the returns process from package pickup through delivery back to the desired return location (i.e., shipping in reverse).

Return shipments can be created in 2 ways: processing a Return shipment by itself or processing a Return shipment at the same time as you process an outbound shipment. To create a Return shipment by itself, simply click Return Shipment in the secondary navigation bar on the Ship screen. To process a Return shipment at the same time you are creating an outbound shipment, click the Process Return label checkbox located in the More shipment details section of the Ship screen. Selecting this checkbox will allow you to create your Return shipment after you finish creating your outbound shipment.

The steps below describe how to create a FedEx Express or FedEx Ground Return shipment once you have reached the Return Shipment screen. Based on the selections you make, the screen might refresh. (Additional shipment options are available by clicking Go to options on the bottom right side of the screen.)

  1. Verify the information that is displayed in the Return package to section. This section will be automatically populated with the information that you entered when you registered with FedEx.com.
    • To enter a different return recipient's information for the first time, select Add a new contact name from the Contact Name drop-down menu, then type in the required contact information.
    • To choose a different return recipient from your address book, make a selection from the Company name or Contact name drop-down menu.
    Note: FedEx Express and FedEx Ground cannot deliver to P.O. boxes within the U.S.
  2. Complete the Return package from section. This section should contain contact and address information for the customer that is returning the package to you.
    • To enter sender information for the first time, select Add a new contact name from the Contact Name drop-down menu, then type in the required contact information.
    • To choose a sender from your address book, make a selection from the Company name or Contact name drop-down menu.
    Note: FedEx Express and FedEx Ground cannot deliver to P.O. boxes within the U.S.
  3. Complete the Package and shipment details section. Field labels shown in bold indicate that a selection or entry is required.
    • For FedEx Express E-Mail Label and FedEx Ground E-Mail Label, the Email label to field is required. Please enter the e-mail address to which you are sending the FedEx Return label.
    • If you select 2 or more from the Number of packages drop-down menu, a Multiple piece shipment details window displays so you can enter the quantity, weight, dimensions, declared value, and item description for each piece in the shipment. For multiple piece shipments with Email or Print labels, you can ship up to 10 packages using 10 unique rows of weight/dimensions information. For multiple piece shipments with Express Tag or Ground Call Tag, you can ship up to 5 packages using 5 unique rows of weight/dimensions information.
    • Since the actual weight of the FedEx Return shipment is often unknown, FedEx Return Shipments request that you enter an estimated weight in the Estimated weight field for the shipment. The actual weight of the FedEx Return shipment will be populated once the package is scanned in the FedEx system.
    • The Dimensions drop-down menu allows you to enter dimensions for the shipment you are currently creating, or you can select from a list of preset package dimensions that you have entered in your Dimensions Profile. Dimensions are only needed if you selected Your packaging from the Package type drop-down menu.
  4. Complete the Billing details section by selecting who the shipment will be billed to from the drop-down menu. If you indicate that the shipment should be billed to the recipient or a third party, you must provide their FedEx account number. In this section you can also enter your own reference information.
    • The RMA number field should contain a unique, user-assigned Return Merchandise Authorization number. This number will be shown on your invoice details and can be used to link outbound and return shipments together for tracking purposes.
  5. The More shipment details section will differ depending on the FedEx Return label type you have selected. For FedEx Express E-mail and FedEx Ground E-Mail Return Labels, you are required to enter information in the following fields:
    • Item description—Describe the item being returned.
    • Expiration date—Indicate the expiration date of the link sent to your customer for accessing the online FedEx Return label.
    For FedEx Express Tag and FedEx Ground Call Tags, you are required to enter information in the following fields:
    • Item description (FedEx Ground Call Tag only)—Describe the item being returned.
    • Pickup date—For FedEx Express Tags, this date should be the next business day. For FedEx Ground Call Tags, this date must be no more than 14 days in the future. If FedEx Ground service has been selected, the pickup date must be Monday through Friday. If FedEx Home Delivery service has been selected, the pickup date must be Tuesday through Saturday.
    • Ready Time—Indicate the time that the FedEx package will be ready for pickup.
    • Close Time—Indicate the time at which business operations cease for the day at the location from which the FedEx Return package will be picked up. This value must be greater than the value entered in Ready Time.
  6. To take advantage of additional shipment options, FedEx® Delivery Signature Options and FedEx InSight®, click Go to options.
  7. Click Continue to proceed with the processing of your package.
    • If you have set your preferences to automatically go to the Additional options, that page displays.
    • Depending on your shipment type and the selection you have made, additional information screens might display.
    • If you have set your preferences to show a shipment confirmation, a popup showing the details of the shipment displays.
    • If neither of these preferences is set and no additional information is required, the shipping label and appropriate instruction pages displays.
  8. When the shipping label displays, use your browser's Print feature to print the label. Depending on the type of shipment you are creating, on-screen prompts might instruct you to print multiple copies of the label to include with your shipment. Additionally, if you have created a multiple-piece shipment, thumbnails of labels for each piece in the shipment might display instead of full-size labels. On-screen instructions will assist you in printing labels for each piece. Note: Fax copies or photocopies of FedEx Ship Manager shipping labels should never be used because the bar codes on the copies might not be readable by FedEx automated scanning equipment.

Any conflict between this information and the Automation Agreement, or transportation agreement between you and FedEx, or between this information and the FedEx Service Guide will be governed by the Automation Agreement, the transportation agreement and the FedEx Service Guide, in that order. Your use of this information constitutes your agreement to these terms.
